Privacy Policy

1. Scope and Overview

FrontBooth Inc. ("FrontBooth," "we," "us," or "our") respects your privacy and is committed to handling personal information responsibly. This Privacy Policy applies to personal information collected through our website, contact forms, meeting scheduling pages, recruiting and careers pages, newsletter or marketing subscription forms, client and prospect communications, and any related online or offline interactions that reference this Privacy Policy (collectively, the "Services").

This Privacy Policy describes the categories of information we collect, the sources of that information, the purposes for which we use it, the categories of parties with whom we may disclose it, the privacy rights that may be available to individuals under applicable law, and how FrontBooth protects and retains information.

Additional notices may apply in specific situations. For example, a client contract, statement of work, data processing addendum, cookie banner, applicant notice, or other just-in-time notice may supplement this Privacy Policy. If there is a conflict between this Privacy Policy and a more specific notice, the more specific notice will control for that situation.

2. Information We Collect

We may collect information that you provide directly to us, information collected automatically when you interact with the Services, and information obtained from third parties or publicly available sources.

2.1 Information you provide directly

Contact and identity information, such as your name, company name, email address, telephone number, job title, business address, and other identifiers you choose to provide.

Business inquiry and service-related information, such as project details, technical requirements, timelines, budget ranges, service interests, onboarding details, support requests, and the contents of messages, attachments, or other submissions.

Meeting and scheduling information, such as preferred dates and times, meeting format, attendee details, agenda notes, and follow-up communications.

Recruiting and applicant information, such as resume or CV details, cover letter contents, work history, education, portfolio or LinkedIn links, location preferences, compensation expectations, immigration or work authorization details you choose to provide, interview notes, references, and other information relevant to recruiting or hiring.

Marketing and communication preferences, such as newsletter subscriptions, topic preferences, event registrations, and opt-in or opt-out selections.

2.2 Information collected automatically

Usage information, such as pages viewed, links clicked, referring pages, time spent on pages, interaction with forms, navigation paths, approximate timestamps, and general engagement metrics.

Device, browser, and network information, such as IP address, browser type and version, operating system, device identifiers, language settings, screen characteristics, and approximate geographic location inferred from IP address.

Cookie, pixel, local storage, and similar technology information used to operate the Services, remember preferences, analyze performance, detect misuse, and improve functionality.

2.3 Information from third parties

We may receive personal information from service providers, scheduling platforms, analytics providers, customer relationship management tools, recruiting platforms, social media platforms, publicly available sources, referral partners, or your employer or authorized representatives when relevant to a business relationship or recruiting process.

2.4 Information we generally do not seek

Please do not send FrontBooth sensitive personal information unless we specifically request it and have a lawful basis to receive it. Depending on applicable law, sensitive personal information may include government identification numbers, financial account credentials, precise geolocation, racial or ethnic origin, religious beliefs, health information, biometric identifiers, or other special-category information. If you provide sensitive information to us, you acknowledge that we may process it as reasonably necessary for the purpose for which it was provided and as permitted by law.

3. How We Use Personal Information

We may use personal information to operate, maintain, secure, and improve the Services and our business operations; respond to inquiries; schedule meetings; communicate with prospects, clients, partners, and applicants; evaluate recruiting submissions; provide and support our services; manage vendor and business relationships; personalize website content; analyze trends and performance; maintain records; comply with legal obligations; protect our rights and the rights, safety, and security of users and others; and prevent fraud, abuse, or other misuse.

Where permitted by applicable law, we may also use information to send newsletters, thought leadership, event invitations, service announcements, and other marketing communications. You may opt out of marketing communications at any time using the unsubscribe mechanism in the message or by contacting us.

4. Legal Bases for Processing

If and to the extent applicable law requires a legal basis for processing, FrontBooth may rely on one or more of the following legal bases: your consent; performance of a contract or taking steps at your request prior to entering into a contract; our legitimate interests, such as operating and improving the Services, securing systems, managing recruiting activities, and maintaining business relationships; and compliance with legal obligations.

Where we rely on consent, you may withdraw that consent as permitted by law. Withdrawal of consent does not affect the lawfulness of processing that occurred before the withdrawal.

5. Cookies and Similar Technologies

We may use cookies, pixels, local storage, session replay or analytics tools, and similar technologies to keep the Services functioning, remember preferences, measure traffic and engagement, improve performance, understand how visitors use the Services, support security, and, where implemented, support marketing or campaign measurement.

You can usually control cookies through your browser settings. Depending on your location and how the Services are configured, we may also offer a cookie banner, consent tool, or preferences center that allows you to manage certain non-essential cookies. Disabling certain cookies may affect some features of the Services.

At this time, unless expressly stated otherwise in a separate notice, the Services may not respond to browser-based "Do Not Track" signals because no universally accepted standard currently governs those signals.

6. How We Disclose Personal Information

We do not sell personal information for monetary consideration. We also do not knowingly share personal information for cross-context behavioral advertising unless and until such practices are implemented and disclosed. We may disclose personal information in the following circumstances:

6.1 Categories of recipients

Service providers, processors, and contractors that help us host, operate, secure, analyze, support, recruit for, or market our business, including providers of cloud hosting, website analytics, CRM systems, communications tools, email and newsletter services, applicant tracking systems, scheduling tools, IT support, security services, and similar business systems.

Professional advisors, such as attorneys, accountants, insurers, auditors, bankers, and consultants, where reasonably necessary for legal, operational, or compliance purposes.

Affiliates, subsidiaries, related entities, or successors in interest for internal administration, service delivery, recruiting, compliance, strategic operations, or a corporate transaction.

Government authorities, regulators, law enforcement, courts, counterparties, or other third parties where required by law or where reasonably necessary to establish, exercise, or defend legal claims, enforce agreements, or protect rights, property, safety, or security.

Acquirers, investors, lenders, and transaction counterparties in connection with an actual or proposed merger, acquisition, financing, reorganization, sale of assets, or similar transaction.

Other parties with your direction or consent.

6.2 Aggregate and deidentified information

We may use and disclose aggregated, deidentified, or anonymized information that does not reasonably identify an individual, subject to applicable law.

7. Retention of Information

We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy and consistent with applicable law, contract, and our legitimate business needs. Retention periods may vary based on the type of information, the context in which it was collected, applicable statutes of limitation, dispute-resolution needs, security logging requirements, and legal, accounting, tax, or regulatory obligations.

For example, we may retain inquiry and business-development records to respond to your request and maintain relationship history; applicant information for recruiting evaluation, future opportunities where permitted, and compliance; service records and communications for client support, project delivery, and contract administration; and usage or security logs for diagnostics, fraud prevention, audits, and system security.

When personal information is no longer reasonably needed, we will delete it, anonymize it, or securely archive or isolate it in accordance with our retention and deletion practices.

8. International Data Transfers

FrontBooth may operate across multiple jurisdictions and may use vendors or personnel located in the United States, Nepal, or other countries. As a result, personal information may be stored, accessed, or processed in locations that may have data protection laws different from those in your place of residence.

Where required by applicable law, we will take appropriate steps designed to provide adequate protection for cross-border transfers, which may include contractual safeguards or other lawful transfer mechanisms.

9. Data Security

We use administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, loss, misuse, alteration, destruction, or disclosure. These measures may include access controls, authentication measures, encryption where appropriate, vendor diligence, logging, and policies governing security and confidentiality.

No method of transmitting information over the internet or storing information electronically is completely secure. Accordingly, FrontBooth cannot guarantee absolute security.

10. Your Privacy Rights and Choices

Depending on your jurisdiction, you may have privacy rights regarding your personal information. Subject to applicable law, verification requirements, and permitted exceptions, those rights may include the right to know or access; correct inaccuracies; delete personal information; obtain a portable copy of certain information; opt out of targeted advertising, sale, or certain profiling; restrict or limit certain uses of sensitive personal information; withdraw consent where processing is based on consent; and appeal a denial of a rights request where an appeal right is required by law.

You may submit a privacy request by contacting us using the details in the Contact Us section below. Please clearly describe your request and the relationship you have with FrontBooth. We may need to verify your identity and authority before processing certain requests. An authorized agent may make a request on your behalf where permitted by law, subject to verification.

Where required by applicable law, FrontBooth will respond within the timeframe required by law. For example, some U.S. state privacy laws require a response within 45 days, subject to a lawful extension in certain cases.

If we deny your request in whole or in part and applicable law gives you the right to appeal, you may submit an appeal by replying to our response or by emailing [Insert privacy rights email address] with the subject line "Privacy Rights Appeal." We will review the appeal in accordance with applicable law.

11. Supplemental Notice for U.S. State Privacy Laws

This section is intended to supplement the rest of the Privacy Policy for residents of states whose privacy laws require additional notice, such as California, Colorado, Connecticut, Delaware, Iowa, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Texas, Utah, Virginia, and other states as applicable. In the last 12 months, FrontBooth may have collected the following categories of personal information: identifiers and contact details; commercial or business records; internet or electronic network activity; approximate geolocation derived from IP address; professional or employment-related information; education information you submit in recruiting materials; and inferences drawn from some of the foregoing solely to support recruiting, relationship management, analytics, and service delivery.

In the last 12 months, FrontBooth may have disclosed those categories to service providers, contractors, advisors, affiliates, regulators, transaction counterparties, and other parties described in Section 6 for the business and commercial purposes described in Section 3.

FrontBooth does not knowingly sell or share personal information, including the personal information of consumers under 16 years of age.

If FrontBooth engages in targeted advertising, sale, or certain profiling activities in the future in a manner regulated by applicable law, we will update this Privacy Policy and implement any additional notices or choice mechanisms required by law.

12. Marketing Communications

You may opt out of promotional emails by clicking the unsubscribe link in the message or by contacting us. Even if you opt out of marketing communications, we may still send non-promotional messages, such as responses to inquiries, scheduling communications, transaction-related notices, service messages, legal notices, or updates about an existing business relationship.

13. Children's Privacy

FrontBooth services are intended for business users and are not directed to children under 13. We do not knowingly collect personal information online from children under 13 through the Services. In addition, individuals under 18 should not use the Services to submit personal information for business inquiries, applications, or other requests unless permitted by applicable law and, where appropriate, with parent or guardian involvement. If we learn that we have collected personal information from a child under 13 without appropriate authorization, we will take steps to delete it as required by applicable law. If you believe a child under 13 has provided personal information to us, please contact us.

14. Third-Party Sites, Tools, and Services

The Services may contain links to third-party websites, scheduling tools, video meeting tools, social media pages, recruitment platforms, or other services that are not controlled by FrontBooth. This Privacy Policy does not apply to those third parties. We encourage you to review the privacy notices of those third parties before interacting with them.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal obligations, or business operations. When we do, we will revise the Effective Date and/or Last Updated date above and take additional steps if required by applicable law. The updated version will become effective as of the stated date.
